Terms & Conditions

Introduction

These Terms & Conditions govern all bookings, travel arrangements, services, and experiences organised and sold by Swiss Travel Studio (“we”, “us”, “our”). By requesting a booking, paying a deposit or full payment, or otherwise confirming travel arrangements with us, you (“the client”, “the traveller”) acknowledge that you have read, understood, and agreed to be legally bound by these Terms & Conditions. These terms apply to all members of the travelling party and form the basis of the contract between you and Swiss Travel Studio.

Booking & Contract Formation

A legally binding contract between the client and Swiss Travel Studio is formed once we issue written confirmation of the booking and receive the required payment as stated in your invoice. The person making the booking confirms that they are authorised to act on behalf of all travellers included in the reservation and accepts full responsibility for ensuring that all members of the group comply with these Terms & Conditions. It is the client’s responsibility to carefully review the booking confirmation and inform us immediately of any discrepancies.

Pricing & Inclusions

All prices are quoted in the agreed currency and are based on the services, accommodation category, transportation, excursions, and inclusions clearly outlined in your confirmed itinerary. Prices are subject to availability at the time of booking and may change prior to confirmation due to supplier adjustments, exchange rate fluctuations, tax changes, or availability constraints. Once the booking is confirmed, the agreed price will remain fixed unless external cost increases occur that are beyond our reasonable control, such as government-imposed taxes or mandatory transport surcharges.

Payment Terms

A deposit is required to secure and confirm your travel arrangements. The remaining balance must be paid in full by the deadline specified on your confirmation invoice. Failure to pay the outstanding balance by the due date may result in cancellation of your booking and release of reserved services without further notice. We reserve the right to refuse service or documentation until full payment has been received and cleared.

Amendments Requested by the Client

If you wish to make changes to your confirmed itinerary, such as modifying travel dates, accommodation, excursions, transportation, or the number of travellers, all requests must be submitted in writing. Amendments are subject to availability and may incur additional charges depending on supplier policies, seasonal demand, or rate differences. While we will make every reasonable effort to accommodate requested changes, we cannot guarantee that all amendments will be possible once services have been confirmed.

  1. All cancellations must be submitted in writing and will be effective on the date we receive the written notice. The following cancellation terms apply to the total confirmed booking value:

– 60 days or more prior to the scheduled departure date: A full refund of the total amount paid will be issued.
– Between 59 and 20 days prior to the scheduled departure date: 50% of the total booking cost will be refunded, and the remaining 50% will be retained as cancellation charges.
– Less than 20 days prior to the scheduled departure date: No refund will be issued, and 100% of the booking value will be retained.

Refunds, where applicable, will be processed within a reasonable timeframe and returned via the original payment method where possible. We strongly recommend that all travellers obtain comprehensive travel insurance to protect against unforeseen circumstances leading to cancellation.

Cancellation Policy

Swiss Travel Studio reserves the right to make minor adjustments to itineraries where necessary to ensure the smooth operation of the trip, including changes to accommodation of similar category, timing adjustments, or alternative service providers of comparable standard. In exceptional circumstances where significant changes are unavoidable due to operational reasons, supplier insolvency, or events beyond our control, we will offer suitable alternatives of equal value or provide a refund for the affected portion of the services. We shall not be liable for additional costs or losses arising from such changes.​

Changes or Cancellation by Swiss Travel Studio

Force Majeure

We shall not be held liable for failure to perform or delay in performing our contractual obligations where such failure or delay results from events beyond our reasonable control. These events include, but are not limited to, natural disasters, extreme weather conditions, avalanches, floods, pandemics, government restrictions, border closures, transport strikes, political unrest, acts of terrorism, or other unforeseeable circumstances that could not have been avoided even with all reasonable measures taken.

Travel Insurance

It is a condition of booking that all travellers obtain comprehensive travel insurance covering, at a minimum, trip cancellation, medical expenses, emergency repatriation, personal accident, loss of personal belongings, and travel disruption. Swiss Travel Studio accepts no responsibility for losses that would otherwise have been covered by adequate travel insurance.

Passports, Visas & Entry Requirements

Clients are solely responsible for ensuring that they hold valid passports with sufficient validity, any required visas, travel authorisations, vaccination certificates, or other documentation necessary for entry into Switzerland and any transit or connecting destinations. We accept no liability for denied boarding, refused entry, or additional costs incurred due to incomplete or incorrect travel documentation.

Health, Mobility & Special Requirements

Clients must inform us at the time of booking of any medical conditions, mobility limitations, allergies, dietary requirements, or other special needs that may affect travel arrangements. While we will make reasonable efforts to communicate such requirements to suppliers and accommodate requests where possible, we cannot guarantee that all services or facilities will meet specific needs unless explicitly confirmed in writing.

Liability & Responsibility

Swiss Travel Studio acts as an intermediary between clients and independent third-party suppliers including hotels, transport providers, rail operators, private guides, and excursion companies. While we carefully select reputable suppliers, we are not liable for acts, omissions, negligence, delays, service failures, or insolvency of these third parties. Our total liability, whether in contract or otherwise, shall in all circumstances be limited to the total value of the services booked directly with us.

Transportation & Travel Disruptions

We are not responsible for flight delays, rail disruptions, missed connections, baggage loss, weather-related interruptions, or schedule changes imposed by transport providers. Any additional costs arising from such disruptions, including extra accommodation or rebooking fees, are the responsibility of the traveller unless covered by travel insurance.

Complaints & Claims

If a problem arises during your trip, you must inform the relevant supplier immediately and notify Swiss Travel Studio as soon as reasonably possible so that we have the opportunity to assist and resolve the issue. Any formal complaint must be submitted in writing within 14 days of the completion of your travel services, providing full details and supporting documentation where applicable.

Data Protection & Privacy

We collect and process personal information solely for the purpose of arranging and managing your travel services. This may include sharing necessary details with hotels, transport providers, guides, and other suppliers to fulfil your booking. All personal data is handled in accordance with applicable data protection legislation and will not be sold or used for unrelated marketing without consent.

Intellectual Property

All itineraries, proposals, travel concepts, written materials, branding elements, and digital content produced by Swiss Travel Studio remain our intellectual property and may not be reproduced, distributed, or used without our prior written consent.

Governing Law & Jurisdiction

These Terms & Conditions and any disputes arising from them shall be governed by and interpreted in accordance with the laws of the country in which Swiss Travel Studio is legally registered. Any legal proceedings shall be subject to the exclusive jurisdiction of the competent courts of that country.

Acceptance of Terms

Payment of any amount toward a booking confirms that the client has read, understood, and accepted these Terms & Conditions on behalf of all travellers included in the reservation, and agrees to be legally bound by them.
